Job Title: Westlake Alumni Manager

Position Status: Part-Time (15 hours/week)
About Westlake Alumni Association and Eanes Education Foundation:
The Westlake Alumni Association is an organization that helps former students of Westlake High School stay connected with each other and with Eanes ISD. It serves as a network for alumni to maintain relationships, support current students, and contribute to the school’s/district’s ongoing development. The association often organizes events, provides mentorship opportunities, and facilitates fundraising efforts to benefit the school community. Through these activities, the Westlake Alumni Association fosters a sense of pride and continuity among graduates, ensuring they remain an integral part of the Westlake family even after leaving the school.
Westlake Alumni Association and Eanes Education Foundation (EEF) is dedicated to supporting the Eanes Independent School District through various fundraising initiatives (membership and endowment gifts) which help fund educator positions that are not covered by state funding. EEF’s mission is to enhance the educational experience of every student by empowering educators with the necessary resources.
Position Overview:
The Westlake Alumni Association Coordinator for the Eanes Education Foundation, under the direction of the Executive Director, is responsible for managing all aspects of the Westlake Alumni Association, including recruitment, marketing, alumni relations, website management, WHS relations and events coordination.
Primary Responsibilities:
Event Management:
- Recruitment – Identify, cultivate, solicit and steward donors/members for the Westlake Alumni Association, including written and verbal communications and individual meetings Communicate Alumni Association’s and Eanes Education Foundation’s philanthropic vision to constituents. Develop and execute strategy for member recruitment and retention
- Marketing – Develop and create content for the Alumni page on the EEF website and manage all social media content and regular updates for WAA Instagram, FB and LinkedIn accounts (update several times per week.) Write and edit content for outgoing email campaigns. Send quarterly newsletters to the Alumni database. Maintain Founders Wall & Legacy Wall.
- Alumni Relations – Respond to phone calls and email correspondence to assist members with various requests. Develop relationships with key prospects and members by conducting personal meetings and educating them to the EEF/WAA brand and mission. Execute member/donor recognition programs. Ensure that member/donor gifts and volunteer involvement information is tracked appropriately
- Events Coordination – Communicate with reunion committees while allowing ownership of the reunion events to remain with the reunion committees. Recruit local businesses to support WHS reunion events with discounts or promotions. Prepare a reunion support menu to provide to reunion committees with options for them to choose from. Coordinate and attend reunion tailgate events before selected WHS home football games – limited to securing locations and providing set up and tear down of WAA pop-up tent. Work in collaboration with the EEF staff.
- WHS Relations – Support the Student Supporting EEF (SSEEF) club at Westlake High School. Collaborate closely with student leaders, providing support and guidance to ensure the success of our programs and initiatives. Partner with WHS staff to coordinate senior cords for students who have met the “SSEEF” volunteer requirements. Connect with Project Graduation leaders to partner with them in various aspects of their program. Develop ways to celebrate the graduating seniors each year.
Qualifications:
- Bachelor’s degree in Event Management, Business Administration, Nonprofit Management, or a related field preferred.
- Minimum of 3-5 years of experience in event planning and operations, preferably in a nonprofit environment.
- Demonstrated success in planning and executing large-scale events and managing budgets.
- Strong organizational and project management skills with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills, with the ability to engage and motivate stakeholders.
- Proficiency in Microsoft Office Suite, donor management software (e.g., Salesforce, BetterUnite) and graphic design programs (e.g., Canva, Illustrator).
- Ability to work flexible hours, including evenings and weekends, as required by event schedules.
- Ability to work in-person, in-office position in Austin, Texas with opportunities to work from home occasionally.
